How do I connect to Mindbody
Setting up the integration with Mindbody is a manual process that is done in 3 steps:
Step 1: Fill out this typeform where we collect the neccesary details for the connection, follow the steps carefully for a succesfull setup.
Step 2: You will receive an activation link and instructions to process the right set-up in your MindBody account.
Step 3: Send us a confirmation so we can activate your MindBody x USC integration.
Important notes on schedule changes
- Urban Sports Club integration does not accept any changes made to class start time, class start date, location, and late cancellation window. Whenever you make a change to classes with any of the before mentioned variables, on USC all these classes will be cancelled and recreated.
- To avoid any loss of bookings our advice is to not make any changes to active classes, meaning classes with a start date <14 days in advance.

Setting up your classes
Create a new class
1. Go to the "Classes" tab by selecting it from the top row of tabs 2. Click on "Tools" 3. Select "Create or Schedule a Class" 4. Click "Add a Class" |

Give the new class the right details
5. Give the class a name, category, sub category, type and Level. Then add an image and create a description Please note: Be sure to not copy HTML styled text into the description field. This might result in text being displayed unexpectedly 6. Click add to save your new class type and to schedule it from here |

Scheduling your class
Navigate to schedule your class
4. Click on "Schedule" for the class you would like to schedule. |

Schedule Settings and submitting
5. Select a location from the dropdown Please note: The locations shown here are corresponding to the locations of Urban Sports Club depending on how the integration was set up. If you would like to add a new location please get in touch with Urban Sports Club support. 6. Select a pay rate for your own members attending 7. Put in the total ammount of spots you would like for this class 8. Make sure "Allow clients to signup for this class online" is checked on, then fill in the number of spots bookable online. Please note: Online options are important here. When "Allow clients to signup for this class online" is not checked, the class will be shown on the Urban Sports Club Frontend but won't be bookable by our members. Please note: These number of spots are the availability for Urban Sports Club and your own members if they book online. These spots are shared. 9. Click "Schedule Class" to finish this process. 10. Click on the "Classes" tab to view the schedule now. You should see your classes appear. Please also check with the Urban Sports Club frontend to see if the classes have arrived after synchronisation. |

How to cancel a single class
1. Go to the "Classes" tab by selecting it from the top row of tabs 2. Click on the cogwheel icon of the class you would like to cancel 3. Click "Cancel or delete class" 4. Click "Cancel this one class" 5. Click "Complete Cancellation" |

Cancel a series of classes
1. Go to the "Classes" tab by selecting it from the top row of tabs 2. Click on the cogwheel icon of the class you would like to cancel 3. Click "Cancel or delete class" 4. Click "Cancel all following" 5. Click "Preview Cancellation" Please note: Here Mindbody is not letting us know what we are about to cancel yet. No worries, in the next step the wizard will show you which classes will be removed from the schedule. 6. Click "Complete Cancellation" |

How to change the class description and title

Click "Edit this Class/Event Description" 5. Change the necessary details 6. Click the save button to submit the change 7. Don't forget to check the schedule to see the change made |

Changing the spot count for a single class
1. Go to the "Classes" tab by selecting it from the top row of tabs 2. Click on the cogwheel icon of the class you would like to edit 3. Click "Edit class setup" 4. Change the spot count for the total capacity and the book online people 5. Click the save button to submit the change 6. Don't forget to check the schedule to see the change made |

Synchronisation
This Integration with Urban Sports Club is subjected to synchronisation. This means that it could take up to 30 minutes for any change to appear on the Urban Sports Club platform.
This includes
- Changes in the schedule
- Changes in the spots or information of classes
- The scheduling of new classes
- The cancelations of classes
Big changes
Please try not to change the location, time or date shortly before the class is about to start. This might have a negative impact on your visitors experience. Due to synchronisation this could mean the member misses the class.
If you spot something strange
If you don't see the change immediately reflected on the partner portal, it could be that the synchronisation has not happened yet. Wait a little while, refresh the pages and check again! If it takes longer than an hour, our support team is happy to help!
Free training
This integration does not support free training and the scheduling of free training timeslots. To schedule free training you go to the partner portal and schedule them there.
Online Classes
Currently the API's we are using to make this integration and connect it to Urban Sports Club, do not support the online class offer coming from the Integration side.
If you were hosting online classes before and these are represented in your contract with Urban Sports Club we will set up a new location profile that will be able to host Online classes through the usage of the Urban Sports Club Partner Portal.
Important notes:
- You cannot put the online classes in your integration's schedule because these will not work.
- The livestream toggle needs to be turned off on Service Category level in Mindbody - If you turn it on for Urban Sports Club classes they may not appear on your location's schedules.
