This payout model (Expected Attendance) only applies to partners with integrated Urban Sports Club bookings, i.e. partners using Fitogram or the Partner Portal and API-integrated partners.
In our payout model, we save all bookings before the cancellation period ends and guarantee you a payout of all saved bookings. If a member cancels the course too late (after the deadline*) and a new member takes the place, we do not pay an additional check-in. Free places that are no longer filled after a late cancellation, as well as a no-show, will continue to be paid out as usual.
*The free cancellation period is set to 12 hours before class start by default. You can, however, set a shorter cancellation period for your classes in Partner Portal.
There are 3 main scenarios that can occur:
Scenario 1: Refilled cancellation
You got 10 Urban Sports Club bookings. A member cancels late, but another member books their spot. You have 10 participants in your class. We will pay you for 10 participants and we won’t be paying out an additional check-in for the member who cancelled late.
Scenario 2: Not refilled cancellation
You got 10 Urban Sports Club bookings. A member cancels late, and no one else fills their spot before the class start. You have 9 participants in your class. We will pay you for 10 check-ins (9 participants + 1 late cancellation).
Scenario 3: a no-show
You got 10 Urban Sports Club bookings. A member does not cancel and does not show up. You have 9 participants in your class. We will pay you for 10 check-ins (9 participants + 1 no-show)

Which partners are affected by the expected attendance payout model?
Only partners with integrated bookings are affected by the change that expected attendance payout model brings. This means partners are using the booking function in the Urban Sports Club app via FitogramPro, Partner Portal or the API.
Do members that cancel late but their spot gets refilled still need to pay the LC fee?
Yes, when a member is making a booking, they agree to the cancellation window bound to this booking. With the Late Cancellation and No Show fees, we want to make sure Urban Sports Club members use our partner with respect, and cancel bookings on time so that other members can participate.
How do Late Cancellations get refilled?
We will refill the late cancellations after the ‘first in, first out’ principle. Example: Three members cancel late in this order: S Member, M member and L member. Two other members book. The spot of the S and M member will be refilled, but the spot of the L member stays open. If no other member book, the partner will be paid out for the L member who cancelled late, additionally to his check-ins.
If an L member cancels late and an S member fills the spot, which payout do I get?
The payment is based on the membership type of the actual check-in, so in this case the S payout. If a Late Cancellation is being refilled, the payout of the member that moved up is being paid to the partner.
Which payout do I get when a member cancels late, but the spot is not refilled?
If you have 10 bookings and a member cancels late (after the free cancellation window) and nobody refills the spot, you will be paid out 10 check-ins: 9 participants and 1 late cancellation (check-in fee according to the membership of a member who did cancel late)
Which payout do I get when nobody cancels late, but one member does not show up?
If you have 10 bookings, nobody cancelled late, but one member does not show up, you will be paid out for the 10 check-ins: 9 participants and 1 no-show (check-in fee according to the membership of a member who did not show up).
What happens if I have more bookings than expected?
Any additional check-ins will be compensated per usual.
Are online partners affected from this change?
No online partners are not affected from this change since we don’t pay the late cancellation for online partners.
